Blood Testing Management System

The Brief

A healthcare provider needed a system to manage the full lifecycle of blood testing — from sample collection and courier tracking through to laboratory processing, result reporting, and clinician review. The existing process involved manual data entry across disconnected systems, paper-based courier manifests, and results delivered by fax. Turnaround times were slow, errors from manual transcription were a real risk, and there was no single view of a sample’s journey through the system.

As a clinical system handling patient data, the platform needed to meet strict regulatory requirements: full audit trails, role-based access control, data encryption, and GDPR compliance throughout.

The Approach

We designed the system around the physical journey of a blood sample — from the moment it’s collected to the moment a clinician reviews the result. Every step in that journey is tracked, timestamped, and attributed to a specific user. The workflow engine ensures samples progress through the correct stages in the correct order, with mandatory checkpoints that can’t be skipped.

The multi-role architecture reflects the reality of who handles blood samples: phlebotomists collecting samples, couriers transporting them, lab technicians processing them, and clinicians reviewing results. Each role sees exactly what they need and nothing they don’t.

The Build

Sample registration captures patient demographics, test requirements, and collection details. Barcode generation at the point of collection creates a unique identifier that follows the sample through every subsequent step. The system validates that required fields are complete before allowing a sample to progress — catching data quality issues at source rather than downstream.

Courier management tracks sample pickups and deliveries with signature capture and temperature logging. The system generates optimised collection routes and provides couriers with a mobile-friendly interface for confirming pickups and handoffs. Chain of custody is maintained digitally throughout.

Laboratory processing workflows guide technicians through testing procedures with mandatory result entry and quality control checkpoints. Abnormal results are automatically flagged for senior review before release. The system supports multiple test types with configurable reference ranges and units.

Result reporting generates formatted PDF reports that can be distributed electronically to requesting clinicians. Critical results trigger immediate notification workflows. Historical results for a patient are accessible in a timeline view, making it easy to spot trends.

The audit trail records every action: who accessed which record, what they changed, and when. This isn’t just a compliance checkbox — it’s a forensic-quality record that can reconstruct exactly what happened to any sample at any point in its lifecycle.

The Result

The platform replaced a fragmented process of spreadsheets, faxes, and manual data entry with a single system that tracks every sample from collection to result. Turnaround times improved because bottlenecks became visible. Transcription errors dropped because data is entered once and flows through the system. The audit trail provides the regulatory compliance evidence that was previously impossible to reconstruct.
