The Brief

Western Counties Roofing is a busy construction company managing multiple roofing projects across the South West. Their operations ran on spreadsheets, paper job sheets, and phone calls — a system that worked when the team was small but was breaking down as the business grew. They needed a way to manage customers, schedule jobs, track progress on site, and keep the office and field teams in sync.

The key constraint: field workers needed to use the system on phones and tablets while on rooftops and scaffolding. Desktop-first software wasn’t going to cut it.

The Approach

We built a mobile-first web application rather than separate native apps. One codebase, accessible from any device with a browser, but designed from the ground up for touchscreen use on small screens in outdoor conditions. Large tap targets, clear typography, and workflows designed around how roofers actually work — not how software developers think they should work.

The CRM and job management features were designed around the actual flow of a roofing job: enquiry, site survey, quote, approval, scheduling, materials ordering, on-site progress tracking, completion sign-off, and invoicing.

The Build

The CRM handles the full customer lifecycle — contact management, site addresses, job history, and communication logs. The quoting system lets office staff build itemised quotes with material calculations and send them directly to customers.

Job scheduling gives the operations team a visual calendar of all active projects, crew assignments, and material deliveries. Field workers see their daily schedule on their phones with job details, site addresses, and customer contact information.

On-site progress tracking lets crews update job status, upload photos of completed work, and flag issues — all from their phones. The office sees updates in real time without chasing phone calls. Photo documentation became particularly valuable for warranty claims and dispute resolution.

The system replaced six separate spreadsheets, a wall calendar, and a filing cabinet of paper job sheets with a single platform that everyone — office staff, project managers, and field crews — could access from anywhere.

The Result

Western Counties Roofing moved their entire operation onto the platform. Job scheduling that previously took hours of phone calls now happens in minutes. Field crews have the information they need on site without calling the office. Photo documentation provides a complete visual record of every project. The business scaled their team and project volume without the administrative overhead scaling with it.
